Our Commitment
At IARPP, we are acutely aware of the importance you place on privacy, and safeguarding your personal information is something we take very seriously. Just as we value our ability to build and maintain meaningful long-term business relationships, we value the trust and security of all visitors to our site.

To that end, we are communicating, in clear, definitive language, exactly how IARPP collects information and the manner in which it may be used. This privacy policy explains, in detail, the personal information that may or may not be collected as you participate in IARPP activities.

Please note that the technology that supports the infrastructure of the World Wide Web and is used on Web sites is constantly changing. We want to offer you a state-of-the-art Web experience, so we encourage you to check this page occasionally for any updates to our policy that we may have instituted in order to meet new technological standards.

Information We Collect
The most basic piece of information we collect is your IP address. This is a numeric address that is assigned to servers and users connected to the Internet. We automatically collect this information from all site visitors.

We use IP addresses to analyze trends, administer the site, review the types of information people are requesting, determine what types of browsers visitors are using, track user’s movements, and gather broad demographic information for aggregate use. IP addresses are not linked to personally identifiable information. The aggregate data collected is used by IARPP to identify user interests, adjust and improve the content of our Web site, and provide a more valuable experience to our visitors.

Membership
Should you choose to become a member of IARPP, your name, address, phone, email, degree, membership status, date of joining and and dates renewing your membership will be collected and stored by our data processing partner, MemberClicks (see Third Party Data Processing Partners below). This information will be used to maintain your membership throughout the year, to send you correspondence and announcements about IARPP member benefits. All financial transactions related to membership are processed and protected through MemberClicks’ secure server. All data is securely stored in MemberClicks password-protected, online server. The IARPP website does not collect, store or maintain any membership data or financial data.

Conferences
Should you choose to attend an IARPP Conference your name, address, phone, email, degree, and membership status will be collected and stored by secure software utilized by our conference management company. For North American conferences our conference management company is KM Direct which uses Cvent to securely manage IARPP conference registrations (see Third Party Data Processing Partners below). For conferences outside of North America, IARPP hires a local conference management company and vets the security processes they use to manage conference registration and process payments. The IARPP website does not collect, store or maintain any conference registration data or financial data.

Members-Only Membership Database
Should you choose to become a member of IARPP your name, office address, phone, degree, email will be included in a members-only online membership directory. The membership directory is password-protected area accessible only to current IARPP members. When you join or renew your membership you will be given the option to be included in the membership directory, or not. Should you at any time choose to not be included in the membership directory you can ‘hide’ your profile from within the directory or ask the IARPP office to make your profile not viewable.

Travel Stipends
Should you choose to become a member of IARPP you will have the opportunity to apply for a Travel Stipend to attend an IARPP Conference. Only current members in good standing may apply. Should you choose to apply for a Travel Stipend, your name, address, degree, membership status, student status, when you joined IARPP, your participation in IARPP activities and events, if you received a previous travel stipend, a current CV and a short statement of financial need (no monetary figures required) will be collected and stored by our data processing partner, MemberClicks (see 3rd Party Data Processors below). This information will be kept confidential and shared only with the IARPP Stipend Committee, who will use this information to make the awards based on specific criteria shared with all members in the application process; and with the IARPP Administrative office which administers the form. All travel stipend data is securely stored in MemberClicks password-protected, online server. The IARPP website does not collect, store or maintain any travel stipend application data.

E-mail Communications
Currently, if you send a comment or question via the Contact Form we ask for your name and e-mail address. We do this in order to reply to inquiries and comments. Information sent via the Contact Form is relayed to the IARPP office via email, is not stored online, will not be shared with any third party nor is it used for any other purpose than to reply to your inquiry.

If you have chosen to become a member of IARPP we will periodically contact you with member-related announcements and information in order to provide our member services and benefits. We do not rent, sell, or share our members’ email addresses with any third parties.

Discussion Groups: Online Colloqiuia, Web Seminars, Members’ Listserv
IARPP offers members the opportunity to participate in online colloquia, web seminars, and a members’ listserv.  Participation in these online activities is voluntary, and you may opt-out at any time. These online activities are available only to current IARPP members in good standing.

IARPP Colloquia and Members’ Listserv are run by our third party data processing partner, L-Soft (Privacy policy) and are maintained as a benefit of IARPP membership. L-Soft securely manges the collection and storage of personal data within our LISTSERV account to allow us to create and use email distribution lists.

IARPP Colloquia: The IARPP Colloquium series is a members-only academic listserv provided twice each year as a benefit of IARPP membership.  Colloquium posts are moderated and subject to approval by the moderators. Approved Colloquium posts are maintained in a password-protected archive open only to IARPP members. All members have the option to opt-out of IARPP Online Colloquia. (See “Opt-Out Option” below.)

IARPP Members’ List:  The IARPP Members’ List is a members-only announcement list for events, book announcements and referral requests. Members posts are moderated and subject to approval by the moderators. Approved posts are maintained in a password-protected archive open only to IARPP members. All members have the option to opt-out of the IARPP Members’ Listserv. (See “Opt-Out Option” below.)

IARPP web seminars are run by our third party data processing partner, Google Groups (Privacy policy) and are open only to IARPP members. Web Seminar archives are private and are available only to web seminar participants within each particular web seminar.

IARPP Web Seminars: IARPP web seminars are smaller group academic listservs which are offered several times each year for IARPP members. All IARPP members have the opportunity to register for a web-seminar. Should you choose to register for a web seminar your registration will be stored in your membership profile so that we may send updates to seminar participants and a class roster sent to the participants of that web seminar.  The web seminar class roster will include only participants’ name and country of origin, so that all participants can know “who is in the room” of the web seminar, as people would see one another’s faces were they in a physical classroom together. Also included in the class roster are names and countries of the IARPP Web Seminar Committee members who may be “listening only” to a given Web Seminar in order to learn from and improve our web seminar experience. Web seminar registration information is not shared  with third parties.

Privacy of Online Discussion: We suggest that you always consider email and web-based correspondence to be an insecure medium and not include personal, confidential or otherwise sensitive information within an email, web form or post. You should be aware that any information voluntarily posted in an IARPP Colloquium or to the IARPP Members’ List is maintained in a password-protected archive and could be viewed by any IARPP member. Our Terms and Conditions of Use prohibit users from “spamming” other users with unwanted e-mail or other solicitations. However, we cannot guarantee your privacy where you publicly disclose personal information. Opt-Out Option
IARPP Members are given the opportunity to “opt-out” of the IARPP Members’ list, IARPP Colloquia and IARPP Web Seminars at any time via an unsubscribe link at the bottom of every communication and/or members can opt-out by emailing the IARPP office at office@iarpp.net and requesting removal.

IARPP does not sell, rent, or loan our e-mail list to any third parties.

Right to Be Forgotten
IARPP Members can unsubscribe from IARPP listservs and/or cancel their membership at any time. However please note for accounting and legal purposes financial records can not be deleted.

Third Party Data Processors
We use a number of third parties in order to offer services to our members. To the best of IARPP’s knowledge, Google, L-Soft, MemberClicks, Taylor & Francis, Google Groups and Cvent are fully compliant with all regulations concerning the collection of personal data, including but not limited to the GDPR.

You can view the privacy policies of these service providers using the links below:

  • Google: the IARPP website uses Google Analytics (GA) to track user interaction. We use this data to determine the number of people using our site, to better understand how they find and use our web pages and to see their journey through the website.
    Although GA records data such as your geographical location, device, internet browser and operating system, none of this information personally identifies you to us. GA also records your computer’s IP address which could be used to personally identify you but Google do not grant us access to this. (Privacy policy)
  • L-Soft: IARPP uses L-Soft to run our listserv email groups and colloquia (Privacy Policy) (and more information on the EU General Data Protection Regulation (GDPR))
  • MemberClicks IARPP uses Memberclicks to process payments and information about our membership (Privacy policy) (Security policy)
  • Taylor & Francis: Taylor and Francis provide a subscription to Psychoanalytic Dialogues for IARPP members, using the mailing addresses of our membership for physical copies of the journal and email addresses for online access to the journal. (Privacy policy)
  • Google Groups: IARPP uses Google Groups to run our web seminar series. (Privacy policy)
  • Cvent: IARPP North American Conferences are managed by KM Direct which uses Cvent software to process conference registrations. (Privacy policy)

Data Protection and Security
We have implemented extensive precautions to protect against the loss, misuse, and alteration of the information under our control. We make every effort to provide for the constant integrity and security or our network and systems; however, we cannot guarantee that our protective measures will prevent third-party “hackers” from illegally obtaining this information.

Our partners (L-Soft, MemberClicks, Taylor & Francis, Google) utilize the latest 128-bit SSL Security for all Membership Applications, Event Registration and Online Discussion and all other instances where personal information is being submitted electronically.

Personal information that you provide via our partners resides on a secure server and is only accessible via password. Records of all site activity, subscription and registration data, and any other personal information of IARPP members and visitors are kept private and under the control of the system administrator. We ensure security by strictly limiting employee access to, and use of, this information.

If the contents of these directories are ever copied or relocated, they will be transmitted in a secure form.

Printed Data: When the use of printed user data is required, for example at conferences for attendee registration, name badges, evaluation forms and sign in/out sheets, printed data are maintained securely by conference management and kept in a locked office. IARPP is required by law to maintain copies of conference attendance, evaluations and sign in/out sheets for Continuing Education purposes and these are maintained by IARPP in a locked office. After the required time period (seven years) all copies of Continuing Education materials are collected and destroyed (shredded).

Data Breaches
We will report any unlawful data breach of this website’s database or the database(s) of any of our third party data processors to any and all relevant persons and authorities within 72 hours of the breach if it is apparent that personal data stored in an identifiable manner has been stolen.

Any change to our privacy policy will be noted on the homepage to IARPP. We will do this in order to make you aware of the change and to reiterate what information we collect, how we use it, and under what circumstances, if any, we may disclose it.

In Conclusion
It’s just not possible to construct a Privacy Policy without some legalese, so here it is!

It is IARPP’s policy not to use or share any personal information about visitors in ways unrelated to the ones described above without also providing you with an opportunity to opt-out or otherwise prohibit such unrelated uses. However, we may disclose personal information about visitors, or information regarding your use of this site or Web sites accessible through this site, at our discretion if we believe that it is reasonable to do so. Such instances may include the need to satisfy laws such as the Electronic Communications Privacy Act, regulations, or governmental or legal requests for such information; to disclose information that is necessary to identify, contact or bring legal action against someone who may be violating our Acceptable Use Policy or other user policies, to operate the site properly; or to protect other users.
